Keep the editor that helps you think
Obsidian is a strong candidate when local Markdown authoring is the main job. A separate reference workflow should earn its place by improving a real task, not by asking you to move every personal note.
A place to write and a reference to query solve different problems.
If your best thinking happens in a Markdown vault, replacing the editor may make your work worse. Obsidian stores notes as local files and supports shared vaults through Sync. Consider HeyBrain when your question is how to make selected knowledge useful in a separate AI workflow. Start by choosing what should remain private, what may be shared and where the authoritative version lives. Neither a shared folder nor an AI answer settles those decisions for you. Method: primary vendor documentation reviewed on 6 October 2026; no hands-on head-to-head benchmark. Diagrams and pilot stories are fictional evaluation examples, not screenshots, customer data or measured results.

In a fictional freelance project, share the accepted brief and keep the private negotiating notes outside the pilot. Record the permitted copy, its owner and its review date. Confirm how each candidate receives that material before granting access.
Choose a local writing vault when durable files and an editor you control matter more than a separate knowledge service. Shared-vault collaboration is also an option; assess its documented permissions and editing model for your team.
You may not need one. Write down one recurring question that costs you time, such as finding the latest approved client decision across permitted references.
Compare the current vault workflow with a small HeyBrain trial using only supported inputs. Keep the trial only if the answer is useful, traceable to the correct edition and worth the extra administration.
Yes. Obsidian documents shared vaults through Sync. Calling it a solo-only product would be misleading.
Its shared-vault documentation describes common permissions for collaborators and synced changes rather than simultaneous live editing. Decide whether that model fits the material you want to share; do not assume another product supplies finer controls without testing them.
Local note storage is a useful boundary. It does not describe what a plugin, external assistant or export does next.
For your chosen workflow, inspect what leaves the device, where it is processed and what is retained. Read the applicable service terms, including HeyBrain’s privacy policy, before sending a sensitive reference.
Use three fictional or approved references: an accepted brief, a superseded draft and an unrelated private note that stays excluded. Ask for the current decision, the evidence behind it and one fact the references do not contain.
Record the edition used, whether unsupported questions are handled honestly and the time needed to maintain the shared copy. Update one permitted reference and repeat. These are acceptance checks to run, not results we claim for either product.

| Main job | Evaluate a separate knowledge reference for an AI workflow | Local Markdown authoring and linked notes |
| Collaboration | Test the exact workspace, input and identity configuration | Shared vaults through Sync; documented collaboration limitations |
| Storage boundary | Hosted processing and storage described in the privacy policy | Notes stored as local plain-text Markdown |
| AI setup | Verify the chosen client and supported inputs in your own pilot | Review the particular plugin or external workflow you choose |
| Migration decision | Start with permitted reference copies; no automatic vault connection is promised | Keep the vault as your writing owner |
| Acceptance check | Correct reference edition, excluded material and maintenance effort | The same task, using your existing vault workflow |

Obsidian stores notes locally in plain-text Markdown and supports links, graph views and plugins.
HeyBrain describes processing and storage of submitted content in its privacy policy. A policy is not an independent access-boundary test.
Keep the original vault as the writing owner. Select a non-sensitive reference you are authorized to share and confirm the available import or connection path. This page does not promise an Obsidian connector.
Track where the shared edition lives and who updates it. If maintaining two copies costs more than the trial saves, keep the simpler workflow.
