HeyBrain vs Glean

Start with the scope of the rollout, then test the knowledge path.

A company-wide search rollout and a focused knowledge workflow are different buying jobs. Glean documents a platform spanning search, chat, assistants, agents and connector-backed context. Include HeyBrain when you want to evaluate a separate knowledge reference for a specific AI workflow. Choose the candidate that solves your actual scope with an acceptable operating burden, rather than the one with the longest feature list. Method: primary vendor documentation reviewed on 6 October 2026; no hands-on head-to-head benchmark. Diagrams are fictional evaluation examples, not product screenshots or measured results.

Why teams compare them

  • Map the work before the sources

For a fictional renewal brief, list the approved commercial decision, support context and account owner. Mark each required item as available, stale, missing or excluded. Repeat on your own permitted references; this diagram supplies no live connector or customer evidence.

  • External clients are not a dividing line

Glean publishes remote MCP and APIs as well as its own interfaces. If an external assistant is central to your workflow, test the particular client, tools and identity in both candidates. Protocol support alone does not prove a complete workflow.

  • When Glean merits the broader evaluation

Put Glean on your shortlist when the task spans enterprise search and agent workflows across teams. Validate the specific sources and administration you need instead of assuming breadth means every content type is covered.

The questions people actually ask about Glean

We have many sources. Is connector count enough?

No. Glean documents indexed, live and hybrid access patterns. Coverage and freshness are properties of the particular connector and configuration.

Create a coverage sheet with one row per required reference: source, content type, source owner, expected reader and maximum tolerable update delay. Give an unavailable critical reference more weight than ten irrelevant connectors.

What does a useful answer look like in the pilot?

Ask for a decision that changed, then inspect the supporting edition. Record whether the answer explains the conflict or silently repeats the superseded draft.

Our fictional renewal example has an accepted decision and an earlier draft. A good pilot result identifies the current edition and lets the reviewer examine it. An attractive answer without that evidence should not win.

Can our own assistant use the context?

Glean offers developer interfaces and remote MCP. External-client access is not exclusive to HeyBrain.

Test a read-only question first. Record the requesting identity, permitted sources and tool outputs. Test a separately authorized write only if your workflow requires one; getting an answer does not establish source write-back.

How do we avoid another system nobody maintains?

Assign an owner for source selection, connector health, access reviews and failed answers. Estimate the time these tasks take during a bounded pilot rather than inventing a productivity percentage.

HeyBrain’s privacy policy describes stored content. Compare retention and deletion documentation, permission refresh and operating cost for both actual proposals. An unchanged original does not establish that no index or copy exists.

Sources and review method

Vendor documentation checked on 2026-10-06. These sources describe published policies and features; they are not independent tests of your configuration. The fictional pilot examples above are not measured results.

  • Glean documentation: connectors and context

Glean documents connector-backed indexes, live retrieval and hybrid paths, with permission information and capabilities varying by connector and configuration.

  • Glean developer platform

Glean publishes search, chat, agent and indexing APIs, remote MCP and custom actions.

  • Glean documentation: connector behavior

Glean documents fetching content and permission maps, connector-specific parsing, and update mechanisms that depend on the source and connector.

  • HeyBrain privacy policy

HeyBrain publishes its processing and storage of submitted content in its privacy policy; policy text is not an independent access-boundary test.

Who each one is for

HeyBrain logo

Choose HeyBrain if

  • Your need is a focused knowledge-reference workflow and its pilot meets the acceptance criteria.
  • The available client and sources suit your actual task.
  • The documented data handling and measured administration fit your team.
Glean logo

Choose Glean if

  • Your evaluation includes a broader enterprise search and agent rollout.
  • Glean’s documented source and developer paths cover the required workflows.
  • Your team can own the deployment and its ongoing connector and access reviews.

Use a coverage pilot, not a wholesale migration.

Start with one fictional or approved reference set and one accountable source owner. Record coverage, answer evidence, update delay and two-reader access results before adding more departments.

Choose the narrower rollout if the broader platform provides little value for your actual task. Choose the broader rollout if a focused tool leaves critical workflows unsupported. Neither result requires a universal winner.

Questions, answered

Is HeyBrain a Glean alternative?
It can belong on a shortlist for a focused knowledge-reference workflow. Glean documents a broader search and agent platform. Compare the source coverage, identity behavior and operating burden required by your rollout.
Does Glean support external AI clients?
Glean publishes remote MCP and developer APIs. Verify the tools, credentials and capabilities available in your selected deployment; external-client support alone does not establish every read or write workflow.
Should we compare connector counts?
Use a coverage sheet for the sources and content types your task requires. A large catalogue does not replace actual coverage, freshness and permission checks.
