AI brain tools for companies: build a shortlist around your sources

Shortlist by sources and operating model
Choose a company knowledge tool by the sources it must reach and the team that will operate it. A long feature matrix is useful only after those two questions are clear.
Four candidates, four starting questions
A company standardized on Microsoft 365 starts from a different place than a team required to run software on its own infrastructure. Neither should buy from a universal “best brain” ranking.
This shortlist is based on primary documentation, not measured performance. It preserves a useful distinction between workplace retrieval, knowledge authoring and personal notes. HeyBrain is the publisher; we do not use an unsupported capability claim about our product to declare ourselves the winner.
Start where the evidence already lives
Microsoft documents Copilot Search across Microsoft 365 and connected external sources. If most of the relevant work is already in that environment, evaluate the eligible experience your tenant can use before introducing another index. Confirm the required sources and licensing rather than treating every product bearing the Copilot name as equivalent. Microsoft Copilot Search
Glean documents cross-application search and cited answers. It is a candidate when a question routinely spans several workplace systems. Test the particular connectors and identity mappings you need; do not substitute a vendor’s overall connector count for coverage of your actual records. Glean overview
Notion is relevant when the working knowledge already lives in its pages. It also documents external-client access through MCP, so “Notion’s knowledge is trapped inside its UI” is not an accurate distinction. Notion MCP
Onyx offers self-hosted as well as managed deployment. That makes it a candidate when operating location and configuration control are important. Self-hosting shifts responsibilities to your team; it does not automatically remove every external data flow if you use a hosted model provider. Onyx deployment overview
Turn the shortlist into a buying decision
Use a real task rather than a generic product demonstration. A fictional team’s question might be: “Why did we postpone the Atlas release, and what still blocks it?” The evidence sits in a current issue, a decision document and an older chat discussion.
| Criterion | What to record | Why it changes the decision |
|---|---|---|
| Source coverage | Exact source types and records reached. | A missing issue tracker can matter more than dozens of unrelated connectors. |
| Answer quality | Correct reason, current blocker and supporting passages. | A fluent summary may combine old and new status incorrectly. |
| Access behavior | Result for an authorized reader and a narrower test reader. | The intended boundary must work for actual identities. |
| Freshness | What happens after a harmless source change. | An index may update on a different schedule from its source. |
| Operations | Who owns updates, incidents and source failures. | A deployment you cannot maintain is an ongoing cost. |
| Total cost | Seats, model usage, infrastructure, setup and required plan features. | A headline seat price is not the whole purchase. |
Do not mix note apps into the same security ranking
Obsidian, Mem and Reflect can be relevant when the task is personal capture or reuse. That does not justify blanket claims that they cannot cite notes, expose APIs or work with external assistants. Mem documents API/MCP workflows; Reflect describes answers linked to source notes. Mem integrations · Reflect
Obsidian’s commercial support license is optional, not a mandatory work-use fee. Treat synchronization and other paid services separately. Obsidian pricing
If you are choosing a personal knowledge habit, use the second-brain app guide. If a team is selecting a shared workspace, use the team handoff comparison. Those are narrower questions than company-wide source retrieval.
End with two candidates and one unresolved risk
A useful shortlist explains why each candidate fits your source and operating model, then names the evidence that could disqualify it. For example: “Evaluate the existing Microsoft environment and a cross-source alternative; the unresolved requirement is whether both can retrieve the current issue under the intended user identity.”
Current pricing and plan details should be obtained from each vendor for the evaluated configuration.
Choose the system that completes the actual task with acceptable operating effort. Keep the evaluation record so the decision can be revisited when sources, plans or requirements change.
